What This Does

A report section can carry loaded words that slip in while you are drafting: "obviously," "admitted," "clearly an attempt to." Gemini in Docs can propose a more neutral and concise version of a passage. Per Google's page, it shows its suggestions directly in the document and you accept or reject them. Nothing changes silently. You keep every fact and every evidence reference, and you decide each edit.

Before You Start

  • Gemini in Docs is available to you. Google's page says the feature requires an eligible Google Workspace or Google AI plan. The registry lists Business Standard ($14/user/month) as a starting point, but eligibility is Google's call. Ask your IT admin if the Gemini button is missing.
  • Draft sections are case material. Your employer's AI policy decides whether Gemini in Workspace is approved for them, and your unit may add rules. If it is not approved, or you are not sure, use a coded and redacted version: subject codes in place of names, evidence references in place of document details, and invented figures. The wording pass works the same way on that version.
  • You check the retention and training settings for your Gemini in Workspace conversations. Google's page links to a page on finding and managing conversation history.
  • You work in a copy of the document. Keep the original draft as the record.

Steps

1. Make a copy and select the passage

Make a copy of the document and rename it so it is clear this is the wording-pass copy. Open the copy and select the paragraph you want reviewed. Google's page also lets you mention a section in the prompt instead of selecting text.

2. Open Gemini and ask for the pass

Click Gemini and enter a prompt in the bar that appears at the bottom of the document. You do not need to select text, per the page, because Gemini reads the context of the document, though selecting the passage keeps it focused.

Copy and paste this
Make the wording of this paragraph more neutral and concise. Keep every fact, date, amount and every bracketed evidence reference such as [E-4] exactly as written. Do not add facts. Do not add words such as alleged or fraudulent. Do not state or imply anyone's intent.

You can also select the text and use Refine on the floating bar, which the page describes for rewriting selected text.

What you should see: Suggestions appear directly in the document.

3. Review each suggestion

Google's page says you can accept a suggestion individually or apply all changes. Use the individual option. For each change, check four things:

  1. Every date, amount and code from the original is still there.
  2. Every bracketed reference is still attached to the sentence it supported.
  3. No new fact, adjective or hedge such as "alleged" has appeared.
  4. A loaded word has not been replaced by a softer word that carries the same conclusion.

Reject any suggestion that fails one of the four. If you reject everything, the pass still taught you which sentences state a conclusion instead of a fact.

4. Compare the final paragraph with the original

Put the original and the edited paragraph side by side. Read the original, then the edit, and confirm that each fact and reference in one appears in the other. Then read the edited paragraph aloud and ask whether it states only what the records show or what a person said, attributed to that person. The decision on what a finding says remains with you, your supervisor and counsel.

Real Example

Scenario: A draft section for Case 2026-014. Every name, date and amount is invented.

Original paragraph:

Prompt

Subject A obviously ignored the callback step and rushed through the bank detail change for Vendor V-12 on 2026-03-02 [E-4]. The payment of 4800 on 2026-03-09 [E-7] was clearly an attempt to hide where the money went. Witness B admitted that no call was made [E-9].

What to look for in the suggestions:

  • "Obviously ignored" and "rushed through" are judgments. A neutral version states what the record shows, such as that the change was entered on 2026-03-02, and attributes anything about the callback to its source.
  • "Clearly an attempt to hide" is a conclusion about intent, with no fact behind it. Do not accept a softer version such as "appears intended to conceal," because it still states intent. Delete the clause, keep the payment, date and [E-7].
  • "Witness B admitted" becomes "Witness B stated," with [E-9] still attached.
  • Every one of 2026-03-02, 2026-03-09, 4800, V-12, [E-4], [E-7] and [E-9] must survive.

Accept: changes that keep all seven items and drop the judgments. Reject: anything that adds "alleged," "suspected" or a new claim, or that moves [E-9] away from Witness B's statement.

Tips

  • Run the pass on one section at a time. Long passages make it harder to confirm that every reference survived.
  • If Gemini wants to merge two sentences, check that the reference for each fact still sits next to that fact.
  • Keep the original paragraph in your copy's version history or a note until your supervisor has reviewed the final.
